Boiler installation certificates and paperwork explained

Boiler installation paperwork is not a single document covering everything. Commissioning records, any required building-regulations notification, manufacturer warranty registration and instructions serve different purposes. Ask the installer to explain what applies to your installation and how you will receive each item.

This guide helps you organise the handover and distinguish installation documents from servicing and landlord gas-safety records. Requirements and notification arrangements depend on the work and the applicable building rules; do not assume every job produces an identical pack of certificates.

The main documents and what they mean

Document or recordPurpose
Commissioning recordRecords the checks and setup completed when the appliance is installed and put into service.
Building-regulations documentationProvides evidence of the applicable notification or compliance process where required; it is separate from the commissioning record.
Warranty registrationConfirms the manufacturer's warranty arrangements for the appliance, subject to its own terms.
Instructions and handoverExplains safe operation, controls, care and who to contact for help.
Quote and invoiceRecords the agreed installation scope, appliance and commercial details for future reference.

What is a Benchmark commissioning checklist?

Benchmark is an industry scheme covering installation, commissioning and servicing of heating and hot water products. A completed checklist records the installation and commissioning information for the equipment, rather than simply confirming that a boiler has been delivered or mounted.

The record may be in the appliance documentation or provided through a digital arrangement. Ask where yours is held and how you can access a copy. Keep it with the boiler's instructions and later service records, as it can be relevant to manufacturer warranty requirements.

The Benchmark scheme explains its purpose. Baxi's Benchmark guidance also distinguishes the checklist from warranty conditions; use the actual terms for your chosen boiler rather than applying one manufacturer's deadlines to every model.

Is a building-regulations certificate the same thing?

No. Commissioning documents record the appliance checks and setup. Building-regulations documentation relates to the applicable compliance and notification process. Where notification is required, confirm who will carry it out and how the resulting documentation will reach you.

Ask which process applies to your work, whether anything arrives separately after handover and when to follow up if it has not arrived. Keep any reference or confirmation with the installation records. Do not assume a completed commissioning checklist replaces a required notification.

For official background, see Gas Safe Register's building-regulations certificate guidance. Check the requirements that apply to the property and work rather than treating a general guide as individual compliance advice.

Does this replace a landlord gas-safety record or a service?

No. A landlord gas-safety record concerns the relevant gas-safety checks; it is not the same document as installation commissioning or a building-regulations certificate. If you let the property, confirm your ongoing responsibilities separately from arranging the new boiler.

A service record documents maintenance carried out later. Installation records do not remove the need to follow the manufacturer's servicing requirements. Keep the different records together, but do not treat their names as interchangeable.

Warranty registration and the workmanship guarantee

Check the exact boiler model, the manufacturer's warranty terms and who is responsible for registration. Ask how you will receive confirmation and what commissioning evidence or servicing history the manufacturer may require for a claim.

The manufacturer's boiler warranty is separate from JustFix's 12-month workmanship guarantee. The JustFix terms explain that guarantee; it should not be read as a promise that every boiler has the same manufacturer warranty length or conditions.

A practical handover checklist

  • Ask for a demonstration of the boiler and heating controls, including the everyday settings you need.
  • Confirm where to find the instructions, commissioning record and any digital documents.
  • Check that the appliance details and installation information are recorded correctly.
  • Ask what notification or certificate process applies, who handles it and whether documents arrive later.
  • Confirm warranty registration responsibilities and the requirements for ongoing servicing.
  • Keep the agreed quote, invoice and a contact for installation or aftercare questions.

What if installation paperwork is missing?

Start with the business that carried out the installation. Explain which document is missing, the appliance and installation date if known, and whether you need a copy of an existing record or confirmation that a process was completed.

If the missing item concerns a notified installation, Gas Safe Register provides guidance on checking records and requesting replacement documentation where available. A duplicate of an existing record is different from resolving work that was never correctly notified. If the original installer cannot resolve the issue, seek advice from the relevant scheme or building-control body about the correct next step.

Missing paperwork alone does not diagnose an appliance fault. If you have a safety concern about the boiler, arrange appropriate professional help rather than treating a document search as a safety check.

Planning your installation with JustFix

Before booking, confirm the documentation and handover arrangements for your particular installation with the team. Some documents may come from the manufacturer or registration scheme after the visit. Ask what you will receive and who to contact if something is missing.
